How to write a thank you note

This section is borrowed from my post about how to write thank you notes. These are some general tips on how you can write genuine and heartfelt thank-you messages.

  • Part 1: Greeting
  • Part 2: Intention
  • Part 3: Reason
  • Part 4: Hope
  • Part 5: Sign Off

Part 1: Greeting

It’s super basic but important. Start with a greeting. You can customize it depending on the relationship that you share with the person.

In the context of a senior colleague or manager, you can use:

  • Dear Rashi
  • To the fantastic Finn
  • To my favorite boss Rachel

There’s quite a lot of freedom here. You can mention a particular characteristic about them too.

With other relationships, you can use the regulars like, “Hey Aarushi!”, or “Dear Robyn”

Part 2: Intention

This part is one that I really like to use as I think it gives more weight to the note and makes the other person feel special.

Starting with intention means stating what this note is for, and why you are writing it.

For example, "I wanted to take this moment to appreciate what a wonderful mentor and supporter you've been for me."

Part 3: Reason

Here is where you can go long and in detail.

Tell them why you’re grateful for them, the experiences you’ve had, how you feel about them, and about the things they’ve done.

Really get into the nitty gritty of why this thank you note exists, why you felt the desire to write a gratitude letter to them.

For example, "From Day 1, I have learned innumerable things from you. You are a gentle guide and I feel so grateful that I could get a chance to work with you. You've always cared for my needs and done everything you can to help me succeed. You truly are a BOSS. Whenever new people join our team, I take a leaf out of your book and try to be as much of a support to them as you have been for me."

Part 4: Hope

This is the part where we start to wrap up. Here you can write about what you hope for this person and your relationship.

Send them blessings and well wishes. Mention the things that you know are important to them in their life. Write about good hopes for the future.

For example, "I send you blessings for happiness and good health. Hopeful and excited for all the ventures we'll set out on together."

Part 5: Sign Off

This is the part where you close.

And, much like Greetings, you can customize it for close relationships. You can also write the name that that person calls or your relationship with them.

Here are some examples:

  • The one who always picks up, Shrey
  • Immense love & gratitude, Abhishek
